IMPORTANT INFORMATION

Tiny Turtles Swimming Limited Terms and Conditions 
 
Acceptance of the terms and conditions specified below will form a binding agreement between you and Tiny Turtles Swimming Limited for the duration of the contract.
 
Booking and Payment 
 
Bookings must be confirmed by online enrolment on the registration page of the SwimSoft Client Portal, a link to which will be emailed to new clients. Links can also be found on The Tiny Turtles Swimming webpage. All relevant information about parent/guardian and child must be entered accurately. 
 
Once registered, you may log into your account on the Client Hub portal at any time to check your details. Please inform us of any changes in your contact details as soon as possible.  This information is used for re-enrolment, posting awards and to contact you if lessons are cancelled for any reason. 
 
Payment must be made for the duration of the course (normally half a term) before the course starts. Failure to pay in time may result in your child losing their place on that and subsequent courses.
 
Following the completion of each course, your child will automatically be re-enrolled on to the next course unless you advise us that you do not wish to continue. We kindly ask that you provide us with a minimum of four teaching weeks notice. Again, payment must be made in full by the date shown on the invoice and prior to the start of the course. If payment is not received by the course start date your child’s place will not be guaranteed. If you have attended a Bath Babies course at Tiny Turtles Swimming, there is no obligation to continue onto a course of swimming lessons after completion, if you do however, wish to continue, you will be given priority to enrol onto a Tiny Turtles Swimming course.
 
All payments must be made by Direct Debit using the secure GoCardless system. A link to GoCardless will be sent to you before your child starts their first course.
 
Any changes in your bank account details must be made in GoCardless prior to payment collection.  Tiny Turtles Swimming will send you a new link to GoCardless on request. 
 
Late Payments and Uncollected Direct Debits
 
If collection of your payment by Direct Debit fails, we will make another attempt to recollect the Direct Debit a day or two later. If we still can’t collect the payment, we will send you an email reminder so that you can rectify any problems with your bank. If after this we are still unable to collect payment, we will contact you via telephone or SMS message to discuss the problem. If after this, payment still cannot be made, Tiny Turtles Swimming reserves the right to cancel any future swimming lessons. You will however remain liable for any swimming lessons that have been taken without payment.
 
If you are experiencing any short-term difficulty in making your payments, please contact us and we will do best to support you and do our upmost to agree upon a solution.
 
Cancellations and Refunds
 
Cancellation by the Client:
 
By enrolling with Tiny Turtles Swimming, you agree to automatically re-enrolment on the next course unless you give notice of cancellation. The notice period is at least 4 teaching weeks prior to the end of the swimming course. This is to allow time for your vacant place to be filled by another child.
 
If cancellation notice is received within less than 4 teaching weeks prior to the end of the swimming course, you will be invoiced for the next course of lessons, whether they are attended or not.
 
No refund will be made for lessons missed during a course for whatever reason, including sickness. Credit for future lessons may be added to your account if lessons are missed due to unforseen circumstances. This will be at our discretion.
 
Cancellation by Tiny Turtles Swimming
 
Tiny Turtles Swimming will endeavour to deliver all lessons that have been offered to your child. However, unforeseen circumstances may arise from time to time, such as the teacher being ill or pool failure at the premises. If we must cancel a lesson, we will inform you.
 
by email only for cancellations with 72 hours or more notice
 
by SMS text (followed by email) for cancellations with less than 72 hours’ notice
 
Please ensure that your contact details are up to date and that info@tinyturtlesswimming.co.uk is added to your email contacts to prevent messages going to the junk mail folder.
 
If Tiny Turtles Swimming can not provide an alternative for the cancelled lesson, a credit will be provided, which will reduce the payment required for the next course.
 
A refund will only be provided if your child has reached school age and is not able to enrol on the next course, or you have already given notice of cancellation.
 
Conduct and Concerns
 
All parents and guardians are expected to act in a kind and courteous way to staff at Tiny Turtles Swimming, hotel staff and other swimming clients. We hope never to evoke this clause but obviously, unacceptable behaviour may result in cancellation of your swimming lessons without refund. 
 
If you have any concerns about the delivery of your lessons or about teachers at Tiny Turtles Swimming, you must put your concerns to us in writing. We will do our best to address your concerns in a polite, friendly and confidential manner.
 
Please also let us know about any concerns you may have about the swimming venue. We are always open to feedback and will pass these on to the relevant hotel manager who will hopefully resolve any issues.
 
Confidentiality and Privacy
 
Tiny Turtles Swimming keeps all your personal data on the SwimSoft software system provided by Morleisure, and your payment details are kept only on GoCardless. SwimSoft and GoCardless are recognised ‘mainstream’ service providers protected by up-to-date security systems. However, Tiny Turtles Swimming is not responsible for any security breeches caused by malicious hacking of SwimSoft or GoCardless.
 
Tiny Turtles Swimming will not divulge your personal information or email address to any third party without your explicit consent.
 
Tiny Turtles Swimming expects all its clients to respect the privacy of its staff and other clients. Personal information about staff and other clients gained during swimming lessons must not be passed on to any third party without their explicit consent.

Mercure Hotel Telford – This venue is perfectly situated for easy access, just a seven-minute walk from Telford railway station. Because it’s just off the M54, this hotel is ideal for swimming lessons.

Ramada Hotel Telford – With its central location with close links to the M54, this swimming lesson venue has quickly become one of our most popular venues. The indoor heated swimming pool makes it ideal for baby and pre-school swimming lessons.

Holiday Inn Telford – This is one of our main swimming lesson venues and we are lucky enough to be the only swimming lesson provider allowed to use this pool. The vibrancy of this swimming pool strikes you as walk through the glass reception doors to the Revive Leisure Club. Its 15m x 10m luxury heated pool and spacious surroundings makes this an ideal venue for our swimming lessons, with the friendliness of staff and cleanliness you’d expect of the Holiday Inn hotel chain.

Guidance and Rules to be followed across all sites

We would appreciate your support in following the below guidance and rules when visiting venues. Our swim school can only remain operational with the support of our venues and part of our contractual agreement is that we will all adhere to the guidance and expectations set by our venue operators. It is also vital for health and safety protocols which benefit us all.

  1. Ideally, there should only be one adult per child on poolside which assists in keeping the environment conducive to a good learning atmosphere. Space is often also limited at our venues. Additional adults and others are welcome to sit in areas away from the poolside, such as reception and bar areas.
  2. All children must use the changing rooms and not get changed poolside. 
  3. Please ensure swimmers shower before entering the pool, and be very careful when moving around the wet floors. 
  4. Please bring your own towels and ensure you sign in upon arrival. At certain venues you’ll also need to input your vehicle registration number.
  5. Please try to arrive no more than 5 minutes before your lesson starts. If you do arrive early, please wait in the reception area.
  6. Children must sit poolside and remain supervised until the lessons begin and must not enter the pool outside of lesson times. Our insurance regulations only covers you during your designated swimming session time.
  7. The Jacuzzi, Sauna and steam room are for hotel members or guests only, and are not to be used by Tiny Turtle swimmers. 
  8. Once the lesson finishes, you must vacate the pool promptly.
  9. Parents and guardians must ensure the children are well enough to come for their lessons. Avoid allowing them to eat during the hour before their lesson – we have had instances of children being sick in the pool, which results in pool closures and cancellations.
  10. No food or drink is to be consumed poolside, with exception of Holiday Inn Revive Leisure Club’s own food and beverages. You may bring water in plastic bottles. NO GLASS is to be taken poolside under any circumstances. 
  11. Please limit Mobile phone and other such Device use on poolside. Photography or filming are strictly prohibited.
